QuickBooks Cleanup Readiness Checklist

A QuickBooks cleanup goes faster when the records, access, and questions are ready before the review starts. Use this checklist to gather what is available and mark anything that needs follow-up.

This checklist is for preparation. It does not replace advice from a qualified tax or legal professional.

Before you begin

☐ Confirm which QuickBooks product and company file you use.

☐ Confirm the company name and the period that needs review.

☐ Write down the main reason for the cleanup, such as unreconciled accounts, missing transactions, duplicate entries, or reports that do not appear to match your records.

☐ List any deadlines that affect the review, such as a lender request, management meeting, or tax-preparation handoff. Do not send confidential information through an unsecured channel.

☐ Identify who can approve changes to the books.

Access and account information

☐ Confirm that the person handling the cleanup has the access needed to review the QuickBooks file.

☐ Confirm access to connected bank, credit-card, loan, payment-processor, or payroll accounts that are included in the books.

☐ Note any accounts that are closed, newly opened, disconnected, or no longer used.

☐ Gather the names of outside professionals who may need reports or clarification. Share their contact details only through an approved channel.

Records to gather

☐ Bank statements for the period under review.

☐ Credit-card statements for the period under review.

☐ Loan statements, if loan accounts are recorded in QuickBooks.

☐ Payment-processor statements or settlement reports, if applicable.

☐ Payroll reports, if payroll-related accounts are part of the review.

☐ Sales, invoice, bill, or expense records that are missing from the file.

☐ Receipts or other supporting records for transactions that need explanation.

☐ Prior reconciliations, if available.

☐ The most recent balance sheet and profit and loss report, if already prepared.

Account review notes

For each account, record what you know. A simple table can help:

Account name | Last reconciled month | Known issue | Question or follow-up

☐ Mark the last month each bank and credit-card account was reconciled.

☐ Note any opening-balance issue you already know about.

☐ Note transactions that appear twice, are missing, or are assigned to the wrong account.

☐ Flag transfers that may have been recorded as income or expenses.

☐ Flag personal or non-business transactions for review rather than changing them without support.

☐ Identify uncleared checks, deposits, or other items that may need investigation.

☐ List old accounts, inactive customers, inactive vendors, or unused products that may need review.

☐ Mark unusual balances in accounts receivable, accounts payable, loans, payroll liabilities, or sales-tax accounts for follow-up.

What to send for a first review

A useful first package may include:

☐ This completed checklist.

☐ A short description of the period and problem to review.

☐ Available bank and credit-card statements.

☐ The latest available balance sheet and profit and loss report.

☐ A list of accounts that are disconnected, closed, or incomplete.

☐ A list of questions and transactions that need clarification.

Do not include passwords in an email or in this checklist. Use the agreed secure method for sharing records and account access.

After the review

☐ Confirm which issues were addressed.

☐ Keep a list of open questions and who will answer them.

☐ Save the supporting records with a clear file name and period.

☐ Confirm which reports were produced.

☐ Record the date of the review and the person who approved the changes.

☐ Set a follow-up date for any items that could not be resolved during the first review.

Consider bringing in a bookkeeper when reconciliations are behind, records are spread across several systems, transaction history is unclear, or you need a consistent process for keeping the books current. Gather the information above first. It gives the reviewer a clearer starting point and makes missing records easier to identify.
